These Terms and Conditions apply to all membership plans offered by Botanica Hair Therapy. By enrolling in a membership program, clients agree to the following terms.

1. Membership Overview

Botanica Hair Therapy offers membership plans designed to make professional hair treatments and hair colour services more accessible through structured payment plans.

Memberships are available in the following formats:

• Treatment Plan

• Hair Colour Plan

Plans are offered for the following durations:

• 6-Month Membership

• 12-Month Membership

Each membership includes a pre-defined package of services (for example: hair colour services, haircuts and blow-dries) which must be used within the selected membership period.

Membership services are intended for ongoing hair care and maintenance over the selected membership period and cannot be used as a payment plan for a single service performed in one appointment.

For example, memberships cannot be used to split the payment of a single service such as a full colour, balayage or treatment performed on one day.

All services included in the membership must be used within the membership term and do not roll over after the membership expires.

Membership services are non-transferable and may only be used by the registered client.

2. Payment Structure

The total value of the selected service package will include a discounted price compared to standard service rates. This total amount will be divided into equal instalments over the duration of the membership.

Clients may choose to pay their instalments:

• Weekly

• Fortnightly

• Monthly

Payments are processed automatically through the Aglow membership platform.

3. Accepted Payment Methods

Membership payments may be processed using:

• Visa

• Mastercard

• Other standard debit or credit cards accepted by the platform

Payments may also be made via direct debit from a bank account using BSB and account number.

American Express (AMEX) is not accepted by the Aglow platform.

4. Aglow Platform Fees

Botanica Hair Therapy uses Aglow as a third-party platform to manage memberships and automated payments.

By enrolling in a membership, clients acknowledge and agree that the following Aglow platform fees apply:

• A one-time platform fee of AUD $9

• 3.25% + GST transaction fee

These fees are included in the total membership amount and distributed across the instalments.

5. Late Payment

If a scheduled payment fails or is not successfully processed, Aglow will apply a late payment fee of AUD $9 + GST.

In the event of a failed or overdue payment, Botanica Hair Therapy reserves the right to temporarily suspend the membership until the outstanding payment has been successfully processed.

While a membership is suspended, clients will not be able to book or use membership services.

6. Cancellation Policy

Clients may request to cancel their membership before the end of the agreed membership term.

In the event of early cancellation, the membership discount will be removed and services already used will be recalculated based on the full standard service prices at Botanica Hair Therapy.

If the total value of services used exceeds the amount paid through instalments, the client must pay the remaining balance.

In addition, an early cancellation fee equivalent to 20% of the total membership value will apply.

If the total amount already paid by the client is sufficient to cover:

• the full value of services already used (at standard pricing), and

• the 20% cancellation fee

any remaining balance will be issued as store credit at Botanica Hair Therapy.

This credit:

• Is non-refundable

• Is not redeemable for cash

• Can be used only for hair services

• Cannot be used for retail products

• Must be used within 6 months from the cancellation date

Any unused credit after the 6-month period will expire automatically.

7. Appointment Cancellation, Rescheduling & No-Show Policy

Clients may cancel or reschedule an appointment booked under their membership with at least 24 hours’ notice without penalty.

If an appointment is cancelled or rescheduled with less than 24 hours’ notice, the booked service will be deducted from the membership as if the service had been completed.

If a client does not attend their appointment (no-show), the scheduled service will also be deducted from the membership.

8. Services Included

Memberships apply only to hair services included in the selected package, such as:

• Hair Treatments

• Hair Colour Services

• Haircuts

• Blow-dries (when included in the package)

Memberships do not apply to:

• Brazilian Keratin treatments

• Hair Botox treatments

These services must be booked and paid separately.

9. Price Adjustments

Botanica Hair Therapy reserves the right to adjust service pricing at any time.

However, existing memberships will remain valid according to the package value agreed upon at the time of enrolment during the active membership period.

10. Membership Expiration

Membership benefits are valid only during the active membership period (6 or 12 months depending on the selected plan).

Services not used within this timeframe will expire and cannot be carried forward.

11. Agreement

By enrolling in a Botanica Hair Therapy membership, the client confirms that they have read, understood and agreed to these Terms & Conditions.
